Administrative Support - Immediate Start. Monaghan Town. Contract - until Dec 2019. Immediate opening for an administrative support officer for a seven month contract based in Monaghan town. Working as part of a team in a professional environment, you will be responsible for implementing effective administration systems, the production of timely information and general administration support. A knowledge and aptitude of systems/databases etc is essential for this role. Financial and General Administration. - Provide administrative back up and support to all aspects of the Directorate. - Implement and maintain efficient & effective administrative systems such as HUB, CRM and Sharepoint etc. - Data entry, maintenance and data quality checking; - Assist in the identification and reporting of issues of risk; - Maintain good working relationships across all directorates; - Deal with and responding to internal/external queries and information requests; - Manage administration back-up and support to all aspects of the Directorate. Support and Services. - User Acceptance Testing (UAT) of Application, Appraisal, and monitoring Forms; - Assist in completion of online ticket requests; - Management of relevant mailboxes; - Administer the Application, New Applicant, Re-contracting and Annual Review Processes across a suite of programmes; - Ensure the efficient logging and tracking of all submissions and supporting information; - Prepare Grant Agreements (Gas) Notifications for issuance; - Administer Garda Vetting process for CSSD funded organisations, tracking of all requests and assist in follow-up and resolution of queries; - Assist in delivery of Garda Vetting Training Events; - Administration of changes to Funding thus ensuring the efficient logging and tracking of all changes and supporting information, updating of systems and collation of information for Addendums/Grant Agreements; - Assist in overall grant management processes; - Provide support to both internal and external users of ICT systems to increase user adoption throughout. - Develop and maintain operational user guidance support documentation and procedures for internal and external audience; - Co-ordinate the efficient and effective dissemination of information and guidelines; - Highlight any issues that may arise which could feed into the development of training and support for the beneficiary groups/implementing bodies; - Deal with and responding to internal/external queries and information requests. Monitoring. - Maintaining, update systems and run database reports. - Issue periodic reporting templates to beneficiaries and ensure receipt & follow up as appropriate. - Monitor data submitted and notify errors or omissions to appropriate team members while supporting groups in meeting the monitoring requirements.
